Responsibilities:  Under the supervision of the Property Control and Inventory Supervisor, located within the Property Control Inventory Unit in the Property Management Section, Integrated Support Services, the incumbent will perform the following duties.

 

  1. I.                   Conduct Physical Verification of United Nations Owned Equipment.
  • Execute the Property & Equipment verification program within a particular geographical area of the mission in accordance with the six month work programme;
  • Liaises with other Departments/Sections to facilitate implementation of the verification program and to advocate UN policy and procedures;
  • Performs physical inspection of UN owned property held in the mission and verifies whether accurate accountability of Property & Equipment issued to end-users is being maintained;
  • Assist in monitoring and following up on movement of Property & Equipment on a regular basis to ensure accuracy of records and location of property;
  • Coordinate and conduct Property & Equipment and Inventory inspections to be conducted in the assigned area of responsibility as directed by chief PCIU, when need;
  • Provide communication and reports on property related activities to other sections, units as per workload assigned by chief PCIU;
  • Execute statistical inventory reports of Property & Equipment and Inventory of United Nations to monitor Inspection progresses on a weekly basis and when requested;
  • Check accuracy of PCIU statistics on a daily basis ensuring anomalies are identified and addressed immediately;
  • Follow up with Assets holding and end users on property accountability;
  • Reviews and analyze  inventory discrepancies, prepares discrepancy reports, advises relevant Self Accounting Units and Field office and monitors the associated reconciliation process;
  • Maintains and updates information collected during physical inspection in Galileo;
  • Monitors and verifies accuracy of inventory data captured in Galileo.

 

 

  1. Prepares statistical inventory reports.
  • Use Business Object report tools to prepare statistical inventory reports to provide feedback to the Supervisor, Operations Manager and Chief of the Unit;
  •  Compile Inventory Control reports for Asset managers and for Inspection planning purposes on a weekly basis.
  • Assist in the accounting for fixed assets and mission strategic reserves.
  • Produce statistics and consolidate analysis on Property inventory, related to compilation of monthly property management performance reports, executed by the mission senior management and UN headquarters.

 

  1. III.             Support Property Inventory Activities.
  • Support to Receiving and Inspection and Property Disposal Unit operations. Assist Property Board Of Survey;
  • Support Property management Stakeholders in reconciling Inventory Discrepancies on a monthly basis.
  • Monitor recording of follow up actions , to be executed by all PCIU staff members through proper planning;
  • Perform other duties as required.

Competencies:

  • Professionalism: A comprehensive grasp of inventory accounting practices, data base management and Enterprise Reporting System. Ability to define and analyze trends in the Property Management area, operate project management software and develop reports and complex text documents. Ability to maintain focus and accuracy for sustained periods.

Qualifications:

 

Education:  High school diploma or equivalent. Vocational training in information technology is desirable.

 

Experience: At least 5 years of experience in finance, accounting, human resources, audit, administrative services, inventory management or related field. Experience in data analysis and data base management is desirable.

 

Language:  English and French are the working languages of the United Nations. For the post advertised, fluency in oral and written French is required. Fluency in oral and written English is an added advantage.
